### What UK trade invoicing software actually has to do

Strip away the marketing and a tradesperson's invoicing problem is small and specific: get a correct, professional-looking invoice in front of a customer as fast as possible after the job, make paying it require the least possible effort, and never have to explain to an accountant why last month's figures don't add up. Everything else — themes, dashboards, automations — is in service of those three things or it's decoration.

### What to check before you pick one

- ✓ A branded, numbered invoice raised from the job — If you're re-typing what you already recorded on the job, the software is duplicating work, not saving it.
- ✓ A pay link the customer can actually use — A PDF with a sort code in the footer asks the customer to do the paying. A button that already knows the amount owed doesn't.
- ✓ A balance you can trust without a spreadsheet — If "what's outstanding" needs cross-checking against a bank statement, the software isn't doing its job.
- ✓ An accounting sync that proves it landed — Sending an invoice to Xero, QuickBooks or FreeAgent is only useful if you can trust it arrived correctly — a sync with no verification just moves the doubt to a different app.
- ✓ CIS and VAT handling that matches your trade — A plumber or electrician taking payments under the Construction Industry Scheme needs CIS deduction handling; not every invoicing tool has it, so check before you commit, not after.

### What the market offers today

Quick answer: UK invoicing options for tradespeople split roughly three ways — all-in-one job-management platforms like Tradify that bundle invoicing with quoting and scheduling, invoicing-first tools aimed at specific gaps like CIS deductions, and full accounting platforms like Xero or QuickBooks that do invoicing as one part of a much bigger accounting system.

Tradify pitches itself as a complete job-management platform — quote, schedule, track and invoice from one app — with a 14-day free trial and Xero/Sage/QuickBooks sync; its own pages don't go into VAT or Making Tax Digital detail, and CIS is mentioned only in passing alongside its Sage integration. At the other end, specialist invoicing tools have appeared that handle CIS deduction combinations for subcontractors more directly than a general job app does, which matters if CIS is a regular part of your invoicing and a generalist tool treats it as an afterthought. Full accounting platforms — Xero, QuickBooks — do invoicing well but weren't built around a job diary, so raising an invoice from a completed visit or round usually means re-entering what a job-management tool already knew. None of that is a knock on any of them: it's a reminder that "best" depends on which of those three shapes matches how you actually work.

      <content:encoded><![CDATA[Making Tax Digital for VAT means two things: you keep your VAT records in software rather than on paper, and your VAT return goes to HMRC from that software rather than being typed into the Government Gateway. Every VAT-registered business in the UK has been in scope since April 2022.

 That is the whole rule. The rest of this post is about what it looks like in practice for a trade business, and how TradeYoke files the return without you learning any of the acronyms.

### What Making Tax Digital for VAT actually requires

HMRC's requirements come down to three:

 
 Digital records. Each sale and purchase, its date, its net value and the VAT rate, held in software.
 Digital links. Numbers must flow between systems electronically. Copying a total from one screen and typing it into another is not a digital link.
 Software submission. The return is sent to HMRC through their API by software that HMRC recognises, not through the old online form.
 
 If your invoices, payments and expenses already live in an app, you have the first two. The third is the bit people worry about, and it is the bit that is now a button.

### The nine boxes

A VAT return has been nine boxes for a long time, and MTD did not change them. What changed is that software fills them from your records instead of you adding them up on a Sunday.

For most trades boxes 2, 8 and 9 are zero. Boxes 1 and 6 come from your invoices; boxes 4 and 7 come from your expenses, which is why capturing receipts in the van matters more than it looks.

### Obligations: what HMRC expects and when

An obligation is HMRC's word for a VAT period they expect a return for. Once TradeYoke is connected to HMRC through your Government Gateway login, it asks HMRC for your open obligations and shows them: the period, the due date, and whether it is fulfilled. There is no guessing which quarter you are in.

 The return is due one calendar month and seven days after the end of the period, and the payment is due at the same time. HMRC's late-submission regime is points-based, so a missed return costs a point rather than an immediate fine, but the points add up.

### The guided nine-step filing

TradeYoke's HMRC filing lives under Settings, in the Accounting & tax tab, and walks the return one box at a time. It pre-fills each box from the ledger and the expenses register, shows you where each number came from, lets you adjust with a note, and asks you to confirm the declaration before anything is sent. It then submits the return to HMRC, retrieves what HMRC recorded, and shows both side by side.

 That read-back is the important part. A return you sent is not the same as a return HMRC holds; the wizard checks they match. The same pattern runs the bookkeeping sync, which verifies every invoice and payment it pushes.

> ⚠️ TradeYoke files the return you confirm. It does not decide what is VATable, which scheme you are on, or whether an expense is reclaimable. Those are questions for your accountant, and the wizard is built so an accountant can review the numbers before you press submit.

### Fraud-prevention headers, and why HMRC insists on them

Every submission to HMRC's MTD API must carry a set of fraud-prevention headers: technical details about the device, connection and software that made the request. HMRC uses them to detect submissions that are not what they claim to be. They are mandatory, and a submission without them is rejected.

 You never see them. TradeYoke gathers what HMRC requires from the app and the browser and sends it with the return. The reason it is worth mentioning is that "HMRC-recognised software" means exactly this: software that talks to HMRC the way HMRC specifies, including the parts nobody enjoys.

### After you file: liabilities and payments

Once the return is in, the same connection shows what you owe HMRC and what you have paid, straight from HMRC's records. It closes the loop: the who-owes-me report tells you what customers owe you, and the liabilities view tells you what you owe the taxman. Both come from the same ledger.

### Questions people ask

**Do I have to use Making Tax Digital for VAT?**

If you are VAT-registered, yes. All VAT-registered businesses have been required to keep digital records and submit through software since April 2022, regardless of turnover. If you are not VAT-registered, MTD for VAT does not apply to you.

**Can I still type my return into the Government Gateway?**

No. Under MTD the return must be submitted by recognised software through HMRC's API. TradeYoke connects to HMRC with your Government Gateway login and submits from the guided wizard.

**What are the nine boxes?**

Boxes 1 to 5 are VAT amounts: VAT on sales, VAT on EU acquisitions (Northern Ireland only), the total, VAT reclaimed on purchases, and the net to pay or reclaim. Boxes 6 to 9 are the underlying values of sales, purchases and EU goods. Software fills them from your records.

**Does TradeYoke do MTD for Income Tax as well?**

      <content:encoded><![CDATA[The short answer: FreeAgent for a sole trader who wants the simplest possible books, QuickBooks for a VAT-registered small team, Xero when an accountant or bookkeeper is doing the work and wants the tool they already know. All three are HMRC-recognised for Making Tax Digital and all three connect to TradeYoke.

 The longer answer is about what "connects" means, because a job app that syncs badly with your books is worse than one that does not sync at all.

### Xero, QuickBooks or FreeAgent: fit by size

The three packages overlap almost completely on features. The differences that matter to a trade business are who is going to use it and how many hands are in the books.

Prices change often and depend on the plan, so we are not quoting them. All three publish UK pricing pages and all three run free trials. The one question that beats every feature comparison is: what does your accountant use? Being on the same package as the person doing your year end saves more money than any subscription difference.

### FreeAgent for the sole trader

FreeAgent was built for freelancers and sole traders, and it shows. It thinks in tax years, estimates your Self Assessment bill as you go, and does not bury you in features designed for a finance department. If you are a one-person window cleaning or gardening business, it is the least you can get away with, in a good way.

 Several UK business current accounts include FreeAgent free with the account, which for a sole trader makes the decision for you.

### QuickBooks for the VAT-registered small team

QuickBooks earns its place once VAT is real and once there is more than one person generating paperwork. Its VAT handling is thorough, it copes with the Construction Industry Scheme, and there is a large pool of UK bookkeepers who work in it. For an electrical or plumbing business with two or three vans, it is usually the sensible middle.

### Xero when an accountant runs the books

Xero is the package most UK accountancy practices standardise on. If your accountant is going to reconcile the bank, run payroll and prepare the year end, Xero is probably what they will ask for, and letting them work in their own tool is worth more than your preference. It also scales furthest if the business grows.

### What syncing actually means

Here is the part that matters. When TradeYoke syncs with your package, it pushes two things: invoices, as you raise them from jobs, and payments, as they settle against those invoices. Each push creates or updates the matching record in Xero, QuickBooks or FreeAgent through their official API, after you connect the account with a one-time login.

 It does not push customers as a separate step, does not pull your bank feed, and does not try to be your accounting package. Your job app owns the invoice; your books own the ledger the accountant works from. Keeping that line clear is why the sync can be trusted. ### Read-back: how you know it landed

Most integrations fire a request and hope. TradeYoke reads the record back from the accounting package after every push and compares it with what it sent. If the invoice number, amount or status does not match, the sync flags it rather than pretending. An event journal on the Accounting & tax tab lists every push and every read-back, so "did that invoice reach Xero" has an answer you can look at.

 The same discipline runs the HMRC VAT filing: submit, retrieve, compare. If you are heading into MTD for Income Tax, the package you sync to is where those quarterly updates will be filed from, which makes the choice a little less casual than it used to be.

- ✓ Ask your accountant first — If they have a preference, that is your answer.

### Questions people ask

**Which one is cheapest for a sole trader?**

Usually FreeAgent, because several UK business bank accounts include it at no extra cost. Otherwise all three publish UK pricing and change it often, so compare the current pages rather than a blog post.

**Does TradeYoke replace my accounting package?**

No. TradeYoke owns the jobs, invoices and payments and pushes them to Xero, QuickBooks or FreeAgent. Your accounting package owns the bank feed, the year end and the accountant's work. The split is deliberate.

**What exactly gets synced?**

Invoices as you raise them and payments as they settle against those invoices, pushed through each package's official API. TradeYoke reads each record back to verify it landed and lists every event in a journal.

**Can I switch packages later?**

Yes. Disconnect one and connect another from Settings. Existing invoices stay in the old package; new ones sync to the new one. Talk to your accountant about the cleanest date to switch, usually the start of a VAT quarter or tax year.

      <content:encoded><![CDATA[Every expense you fail to record is tax you pay that you did not owe. The receipt in the glovebox, the diesel on the personal card, the trip to the merchant nobody wrote down. The fix is not more discipline in January; it is thirty seconds on the forecourt.

 This guide is the routine: capture the receipt where you are, let the app read it, attach it to the job or the van, and let mileage and the accountant file follow from what you already did.

### Receipts and expenses: the glovebox problem

A receipt is a piece of thermal paper that fades in six weeks and lives in a van at forty degrees. By the time the accountant asks for it, it is blank. A photo taken at the till is permanent, legible and attached to the day it happened.

 HMRC accepts digital copies of receipts. You need to keep records for at least five years after the 31 January filing deadline for the tax year they relate to, and VAT records for six years, so the photo has to be somewhere you will still find it. Your camera roll is not that place.

### Photograph it on the forecourt

In TradeYoke the Expenses page has a camera button. Point it at the receipt and the supplier, total and VAT amount are read for you and pre-filled. Check them, pick a category, and it is done.  The reading is not magic and it is not always perfect on a crumpled receipt, which is why you check the total before saving. But it turns a chore into a glance, and a glance happens every time.

### Attach it to the job, or to the van

An expense on its own is a cost. An expense attached to a job is a margin. Attach the materials for the fuse board to that job, and the job's record shows what it earned against what it cost. Attach the tyres to the van, and the vehicle record shows what that van costs to keep on the road. Over a year, this is the difference between knowing which work pays and guessing.

 The suppliers register keeps the names consistent, so the merchant you use three times a week is one supplier in the report, not eleven spellings. For a electrician or plumber buying materials per job, the job attachment is the habit worth building first.

### Mileage from the day's stops

Mileage is the expense sole traders most often under-claim, because nobody keeps the log. TradeYoke builds the day's mileage from the stops you actually visited, so the log is a by-product of doing the round rather than a separate job.

 If you use HMRC's simplified expenses, the approved rate for a car or van is 45p a mile for the first 10,000 business miles in the tax year and 25p a mile after that. Whether simplified expenses or actual vehicle costs suits you better is an accountant question; either way you need the miles.

### The accountant file

At the end of the quarter or the year, the Reports page exports two CSV files: one for income and payments, one for expenses. Between them they are the whole year in two attachments, with each expense line linked to its receipt image. Your accountant gets a file they can work from instead of a bag.

 If you sync to Xero, QuickBooks or FreeAgent, invoices and payments arrive there directly. Which package suits a trade business covers the choice. Either way, the expenses side is what feeds boxes 4 and 7 on a VAT return, which MTD for VAT in plain English explains, and it is what a quarterly update will need once MTD for Income Tax reaches you.

### What HMRC expects you to keep

You do not send receipts to HMRC with a return, but you must be able to produce them if asked. Digital copies are fine as long as they are legible and complete. Keep the record of what the expense was for, which is why the category and the job attachment matter as much as the image.

 None of this is tax advice. What counts as allowable, and whether you claim actual costs or flat rates, is for your accountant. What the routine does is make sure that whatever they decide, the evidence exists.

### The receipt routine

- ✓ Photograph at the till — Supplier, total and VAT read for you. Check the total.
- ✓ Pick the category — Materials, fuel, tools, PPE, subcontractor.
- ✓ Attach to the job or the van — Materials to the job; tyres, fuel and servicing to the vehicle.
- ✓ Let mileage build from the stops — Review it weekly rather than reconstruct it yearly.

### Questions people ask

**Does HMRC accept photographed receipts?**

Yes. Digital copies are acceptable as long as they are legible and you keep them for the required period: at least five years after the 31 January deadline for the tax year for Self Assessment, and six years for VAT records. Check gov.uk for your own case.

**How accurate is the receipt reading?**

Good on a clean receipt, less so on a crumpled or faded one. The supplier, total and VAT are pre-filled for you to check before saving, and the original image stays attached to the expense so you can always look at it.

**Can I claim mileage as well as fuel?**

Not both for the same vehicle. HMRC's simplified expenses use a flat rate per business mile that covers fuel and running costs; the alternative is claiming actual costs. Your accountant will tell you which suits you. Either way you need a mileage record, which TradeYoke builds from the day's stops.

**What does the accountant file contain?**

Two CSV exports from the Reports page: income and payments, and expenses. Each expense line links to its receipt image and its job or vehicle, so your accountant gets the evidence with the numbers.
