How to stop no-shows: appointment reminder texts that actually work for UK trades

A missed appointment costs a trade business the travel time, the slot another customer could have had, and the awkward call to rebook. Here's what actually cuts no-shows, and how TradeYoke automates it.

What a no-show actually costs

Quick answer: a missed appointment costs you the travel time and fuel to get there, the slot another customer could have filled, and — for a round-based job like window cleaning or gardening — the awkward job of working out when to try again.

For a plumber or electrician with a full day of one-off jobs, a no-show is a hole in the diary that's usually too late to fill. For a window cleaner or gardener running a round, it's slightly different but no less costly: you've driven there, the gate's locked or the car's blocking the drive, and now that stop either waits a whole cycle or needs a special return trip that eats the margin on every other job that day. Industry data on automated reminders consistently shows a meaningful drop in no-shows once they're in place — not because customers didn't want you to come, but because they genuinely forgot, and nothing prompted them in time to do anything about it.

What actually reduces no-shows, TradeYoke or not

Quick answer: send a reminder close enough to the appointment that it's still front of mind, make it specific (day, rough time, what you're doing), and give the customer one easy way to tell you if it doesn't work.

What a good reminder text does

  • Times it rightToo early (a week out) and it's forgotten again; too late (an hour before) and there's no time to move anything. The day before, in the morning, is the sweet spot for most trade visits.
  • Names the job and the day"We're cleaning your windows tomorrow" beats a generic "you have an appointment" — it's specific enough to trigger the memory.
  • Gives a way to reply, not just readA text that's a dead end just gets ignored if there's a problem; one the customer can reply to catches the cancellations before you've driven there.
  • Doesn't need the customer to do anything if all's wellThe best reminder is silent unless there's a problem — asking for a confirmation on every single visit trains people to ignore reminders altogether.
  • Comes from the same number or name each timeConsistency builds the trust that makes a customer open the text instead of assuming it's spam.

How TradeYoke automates it

Quick answer: TradeYoke sends round reminders and "on my way" texts automatically through a background dispatcher, replies land back on the customer's own record, and every wording — including the reminder itself — is yours to reword in Message templates.

Every message TradeYoke sends — a reminder, an on-the-way text, an invoice, a receipt — goes through one message wizard, whether you send it there and then or schedule it for later. Round reminders and similar notices are generated automatically by a daily background sweep, so a reminder for tomorrow's round goes out on time even if nobody in the office is at a desk. If the customer replies, the message routes back onto their own record in TradeYoke rather than landing in a personal phone that leaves with whoever answered it.

Around 55 of the emails and texts TradeYoke sends by itself — reminders included — can now be reworded and previewed by the business in Settings → Message templates, so a reminder can sound like you, not like generic software copy. Anything you haven't touched still goes out using TradeYoke's own sensible default wording, so a brand-new business is never sending a blank text.

Do I have to write my own reminder text?

No. TradeYoke ships with default wording for reminders and every other automatic message; reword it in Settings → Message templates whenever you like, with a live preview before you save.

Will customers be able to reply?

Yes — replies to a text are routed back to the customer's record in TradeYoke and shown in the same thread as everything else you've sent them.

Can I send a reminder to everyone on tomorrow's round in one go?

Round reminders are generated automatically by the daily sweep per customer; a one-off bulk message to a hand-picked group isn't a feature today.

Does this cost extra per text?

Messaging is part of TradeYoke's paid plans; texts go through TradeYoke's own messaging provider so there's no separate SMS account to set up.

Let the reminders send themselves

30 days of Essentials free, no card required. Set your round up and watch tomorrow's reminders go out on their own.
